About the Role:
We are looking for a dedicated and detail-oriented Virtual Assistant to join a leading medical practice specializing in Otolaryngology and Head and Neck Surgery. This role involves supporting the practice with patient intake, scheduling, data management, and Telehealth coordination, while ensuring the clinic runs smoothly and efficiently.

Key Responsibilities:
• Patient Intake: Collect and manage patient intake forms, including ID verification and document submission prior to appointments.
• Scheduling: Organize and manage both initial and follow-up appointments to maintain a balanced schedule within the clinic.
• Data Management: Gather and prepare necessary medical data (labs, imaging, referrals) for patient visits.
• Telehealth Coordination: Arrange telehealth visits for patients discussing labs and imaging results, and pitch telehealth options for an additional $60 fee.
• Online and Referral Follow-ups: Follow up with patients through web, Facebook, Instagram, and physician referrals to ensure all inquiries are addressed.
• Patient Reviews: Call patients to follow up on their experiences and encourage them to leave reviews on Google and Facebook.
• Radiology Coordination: Coordinate with the radiology department to organize modified barium swallow appointments.
Qualifications:
• Fluent in Spanish (both written and spoken).
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills to engage with patients and staff.
• Problem-solving abilities with an independent work style.
• Proficiency with Practice Fusion or a similar medical charting system is required.
Preferred Qualifications:
• Previous experience in a medical or healthcare setting is a plus, especially in patient intake, scheduling, or telehealth services.
