Job Description: As a Project Coordinator and Operations Specialist, you will be the backbone of our day-to-day operations. You will ensure smooth execution across all aspects of client projects, from managing logistics and coordinating materials to handling assessments and providing communication support. In this hands-on role, you will work closely with clients, virtual assistants, and vendors to ensure every detail of each project is managed efficiently.
Key Responsibilities:
Client Project Management:
• Schedule client meetings and manage project timelines
• Create and track proposals, contracts, and invoices
• Document and organize projects using Google Drive and Copper CRM
Program Design and Content Development:
• Assist in the design and rollout of leadership programs
• Work with coaches and facilitators on online course modules
• Attend virtual training sessions and document key takeaways
Assessment and Survey Administration:
• Administer and manage assessments (DISC, Gallup Strengths, 360 feedback)
• Create pre- and post-session surveys and analyze results
Materials and Logistics Coordination:
• Coordinate the design and production of training materials
• Manage vendors for printing and material preparation
• Oversee the posting of session recordings and uploads
Communication and Follow-up Management:
• Draft client communication and follow-up schedules
• Manage the ID360 clarity performance measurement dashboard
Administrative and Financial Support:
• Track invoices, payments, and update financial records in QuickBooks
• Oversee virtual assistants and manage action items
Qualifications:
• Strong organizational and project management skills
• Ability to handle multiple projects with attention to detail
• Excellent communication skills, both written and verbal
• Proficiency in Google Drive, Zoom, and CRM tools
• Experience with assessments like DISC, Gallup Strengths is a plus
Tools You Will Use:
