Job Description:
This role focuses on maintaining proactive communication with customers and engaging new leads generated from social media marketing. As the Customer Outreach & Lead Setting VA, you will make outbound calls to schedule maintenance, respond to inquiries, manage databases, and set appointments for new customer consultations. With regular responsibilities and opportunities to grow into additional social media tasks, you’ll play a vital role in ensuring customer satisfaction and expanding our client’s business reach.
Key Responsibilities:
• Customer Outreach: Contact approximately 2,000 existing customers twice annually to schedule routine maintenance, resulting in approximately 4,000 outbound calls per year.
• Lead Setting: Engage with leads from social media channels and set appointments for consultations, requiring a persuasive and customer-focused approach.
• Scheduling: Handle inbound calls to schedule maintenance and urgent repair appointments, efficiently managing service schedules.
• Communication Channels: Utilize phone calls, emails, and text messaging to maintain consistent, professional communication with customers.
Tools You Will Use:
• Service Fusion: Dispatch and database management software (training provided).
• GoHighLevel: Social media-integrated lead management tool.
• Microsoft Office Suite: For general administrative tasks.
• Database Management: Maintain customer records with up-to-date tagging for easy tracking.
Additional Responsibilities:
• Social Media (Optional): During slower seasons, assist with posting on social media channels such as Facebook, Instagram, and possibly Twitter (X).
• Call Scripts & Guidelines: Use provided call scripts and tagging shorthand to ensure consistent, effective communication with customers.
Working Hours:
• Tuesday - Friday: 8:00 AM - 6:00 PM ET
• Saturday: 10:00 AM - 2:00 PM ET
Preferred Qualifications:
• Skills: Strong verbal and written communication in English, a proactive and sales-oriented mindset, and solid problem-solving abilities.
• Accent: Candidates with clear, neutral accents or a Hispanic-sounding accent are preferred to align with our client’s customer demographic.
• Experience: Previous experience in database management and customer service is highly desired.

• Must work during US-based hours (Graveyard Shift - ET).
