Job Description:

We’re seeking a detail-oriented, proactive Executive Assistant / Administrative VA to take ownership of essential administrative operations. In this role, you’ll manage various support tasks independently, helping to enhance service delivery for our clients. You’ll be critical to ensuring smooth, day-to-day operations and providing an outstanding experience for our client base.

Key Responsibilities:

• Monitor and respond to emails with accuracy and professionalism

• Manage and update MLS searches and assist in scheduling showings

• Maintain and update the CRM, ensuring data is current and organized

• Handle listing preparations, compliance documents, and DocuSign processes

• Write offers, gather signatures, run comparables, and support contract-to-close tasks

• Perform routine administrative support and manage client interactions for enhanced service delivery

• Follow up on tasks to ensure timely completion of each project phase

Qualifications:

• Proven experience in real estate admin support, executive assistance, or related roles

• Excellent organization skills and problem-solving abilities

• Effective communicator with a strong command of English, with a plus for Chinese language proficiency (speaking, reading, typing)

• Ability to follow through on tasks independently and efficiently

• Trustworthy, dependable, and committed to maintaining high-quality work

• Must be proactive, hardworking, and have an ownership mentality in their role

Tools You Will Use:

• Command CRM

• Google Suite (Gmail, Google Docs)

• MLS

Working Hours:

• Full-Time (40 hours per week), from 9 am to 5 pm EST, with flexibility when needed.

• Screenshot and productivity tracking required

• Must meet work hours scheduled in the US time zone (Graveyard Shift)
