Job Description:

Are you a proactive, organized, and detail-oriented individual with a knack for anticipating needs and coordinating complex schedules? We are currently seeking a dynamic Executive Assistant to provide high-level support to our results-driven CEO in a fast-paced environment. If you thrive under pressure, enjoy working independently, and excel in managing tasks autonomously, this role is perfect for you! The CEO has a distinct DI DISC profile and we are specifically seeking a candidate with a DC DISC profile—someone who can maintain control over various moving pieces and deliver exceptional support.

Key Responsibilities:

Administrative Support:

• Manage the CEO's complex calendar, schedule meetings, and coordinate travel arrangements (domestic and international).

• Prepare meeting agendas, organize materials, and track follow-up actions.

• Handle email management, filter and prioritize communications, ensuring the CEO’s inbox is organized.

Project Management:

• Plan, coordinate, and execute projects in a timely manner, ensuring deadlines are met.

• Track progress on key initiatives, providing regular reports on the status of ongoing projects.

• Coordinate tasks across departments and with external stakeholders, ensuring seamless execution.

Communication & Correspondence:

• Serve as the primary point of contact between the CEO and internal/external parties.

• Draft and edit correspondence, reports, and presentations on behalf of the CEO.

• Prepare meeting notes and ensure decisions and actions are communicated promptly.

Travel & Event Coordination:

• Organize detailed travel itineraries, including logistics for domestic and international trips.

• Plan and coordinate events, conferences, and team-building activities, ensuring all details are managed efficiently.

Confidentiality & Discretion:

• Handle sensitive information with the highest degree of confidentiality and professionalism.

• Make informed decisions and represent the CEO when required.

Process Improvement:

• Identify opportunities for operational improvements and implement solutions to optimize workflows.

• Manage systems to track tasks, deadlines, and progress, ensuring smooth operations.

Qualifications:

Experience: At least2 years as an Executive Assistant supporting senior executives or C-level personnel.

Tech Skills: Proficient in Microsoft Office Suite(Word, Excel, PowerPoint, Outlook),Google Workspace(Docs, Sheets, Gmail, Calendar), and ClickUp(required).

Communication: Strong English communication skills, both written and verbal.

Time Management: Ability to efficiently manage multiple tasks and meet tight deadlines.

Problem-Solving: Proactive decision-making ability, with a solutions-focused mindset.

Attention to Detail: High level of accuracy in task execution and document management.

Adaptability: Comfortable working with shifting priorities in a dynamic environment.

Discretion: Ability to handle confidential information responsibly and with professionalism.

Tools You Will Use:

• Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

• Google Workspace (Docs, Sheets, Gmail, Calendar)

• ClickUp (Required for project management)

• Go High Level (Database management)

• Zoom and Microsoft Teams for virtual meetings

Working Hours & Compensation:

• Full-Time Position

• 8:00 AM – 4:00 PM New Zealand Time

• Monday to Friday

• Hourly Rate: $5

• Graveyard shift (Philippine Time)
