JOB DESCRIPTION

Our company is a premier landscape and outdoor living company, delivering top-tier services in design, maintenance, and installation. Our financials are the backbone of our success, and we are looking for an expert-level bookkeeper to ensure accuracy, efficiency, and compliance in all accounting operations.

We are seeking a highly skilled, detail-oriented, and experienced accountant/bookkeeper who is well-versed in QuickBooks Online (QBO) and accrual-based accounting. This is a high-responsibility role requiring full ownership of the company's books, working closely with our external accounting firm but handling 99% of the daily operations in-house.

Key Responsibilities:

Accounting & Financial Management

-Full Charge Bookkeeping: Maintain and oversee the entire accounting cycle, including Accounts Receivable (AR), Accounts Payable (AP), Invoicing, Payroll Journal Entries, and Adjustments.

-Accrual Accounting Expertise: Accurately manage accruals, prepaids, deferred revenue, and ensure month-end and year-end closeouts are precise.

-Revenue Allocation & Cost Accounting: Track revenue streams, match costs appropriately, and apply revenue recognition principles.

-Bank & Credit Card Reconciliation: Perform daily, weekly, and monthly reconciliations for all business accounts.

-Financial Reporting & Analysis: Generate P&L reports, balance sheets, cash flow statements, and other custom reports needed for business insights.

QuickBooks Online & Software Integrations

-Advanced QBO Management: Maintain accuracy and efficiency in QuickBooks Online (QBO), ensuring transactions are correctly categorized.

-Software & API Integrations: Manage financial data sync between QBO and software platforms such as Ignition, Bill.com, Stripe, Payroll Systems, CRM, and Inventory Management.

-Payroll & Tax Compliance: Coordinate with the external accountant to ensure payroll, local and state tax filings, and compliance tasks are properly handled.

Accounts Receivable & Accounts Payable

-Billing & Collections: Process invoices, follow up on outstanding payments, and reduce AR aging.

-Vendor & Expense Management: Ensure all vendor bills are properly accounted for, negotiate payment terms, and reconcile supplier statements.

-Cash Flow Monitoring: Track daily transactions to forecast and manage cash flow effectively.

Financial Closeouts & Depreciation Management

-Month-End & Year-End Close: Reconcile all accounts, ensure correct journal entries, and prepare financials for tax filing and compliance.

-Asset Depreciation & Fixed Asset Tracking: Manage fixed asset ledgers and track depreciation schedules in QBO.

Skills & Qualifications Checklist:

-Degree in Accounting, Finance, or related field (CPA preferred but not required).

-Minimum of 5+ years of experience in bookkeeping & accounting (preferably in US-based companies).

-Advanced knowledge of QuickBooks Online (QBO) – Must have real, hands-on experience.

-Expertise in accrual accounting, prepaid expenses, revenue recognition, and allocations.

-Strong experience with AR/AP, invoicing, collections, and reconciliations.

-Excellent understanding of financial reporting (P&L, balance sheet, cash flow).

-Ability to integrate and manage financial software & API connections.

-Highly organized, detail-oriented, and self-driven.

-Strong English communication skills (written & verbal).

-Ability to work independently and meet deadlines without supervision.

-Experience working with external accounting firms.

-Proficiency in Microsoft Excel and Google Sheets for financial analysis.

-Knowledge of US tax principles is a plus but not required.
