Job Description:
Virtual Dream Team is looking for an exceptional Executive Assistant to support a fast-moving founder operating at the intersection of artificial intelligence, investing, research, publishing, and global events. This is a high-trust, high-responsibility role for someone who thrives in dynamic environments and enjoys being the operational backbone behind a busy executive.
You will manage daily operations, coordinate with senior stakeholders across multiple countries, support international travel and events, and help ensure that important projects move forward smoothly. This role requires maturity, strong judgment, outstanding communication skills, and the ability to operate confidently with high-profile individuals.
Key Responsibilities:
• Manage executive calendars, scheduling, and inbox triage across multiple time zones
• Coordinate communication and project activities with key collaborators, advisors, and stakeholders
• Organize VIP speaker, guest, and event logistics for international programs and conferences
• Draft, review, and send professional communications on behalf of the executive
• Coordinate domestic and international travel arrangements, accommodations, and itineraries
• Track meeting action items, deadlines, and follow-ups to ensure accountability
• Maintain organized documentation, files, and workflows across Google Workspace
• Support adoption and use of AI tools, automations, and operational systems to improve productivity

What We're Looking For:
• 3–5 years of Executive Assistant experience supporting a senior leader or executive
• Previous experience supporting a startup CEO, investment banker, strategy consultant, family office principal, or high-net-worth individual
• Excellent written and verbal English with the ability to communicate professionally with senior executives and VIP stakeholders
• Highly organized, detail-oriented, and capable of managing confidential information with discretion
• Strong problem-solving skills with a proactive, ownership-driven mindset and minimal need for supervision
• Comfortable navigating ambiguity, shifting priorities, and fast-paced international operations
• Interest in AI tools and emerging technology, with a willingness to learn new systems and workflows
• Mandarin language skills are highly valued but not required
• Experience supporting teams that operate across Asia and US time zones is a strong advantage
Working Hours:
• Flexible scheduling available based on candidate preference.
• Options include Asia business hours (Bangkok GMT+7), US business hours, or a split-shift arrangement. Flexibility is required to accommodate executive travel, international events, and occasional schedule adjustments.

• Fulltime work 40hrs/wk
• Rate: $6-9/hr
