Job Description:
We are seeking an Executive Virtual Assistant & Community Operations Coordinator who will be the reliable anchor to a highly creative and intuitive founder. Your core responsibility is to manage the operational and community rhythms, even during periods of rest or low output from the founder. This part-time, remote role is perfect for someone who’s organized, compassionate, and skilled in both back-end systems and front-end communication.
Key Responsibilities: Administrative & Operational
• Track and organize data from marketing campaigns and growth initiatives
• Monitor and follow up with leads, customers, and outreach activities
• Build and update Kajabi webpages, offers, and client lists
• Manage basic reporting and clean up tags in CRM
Social Media Support
• Repurpose content from voice notes, emails, and past posts into IG content
• Stay up-to-date with Instagram trends and suggest aligned formats
• Format and schedule posts including Reels, carousels, and stories
Customer & Community Care
• Respond to Kajabi support tickets and assist with escalated issues
• Surface testimonials, engagement wins, and customer insights
• Assist in nurturing and eventually managing community spaces (e.g. Circle or Slack)
• Serve as a friendly, supportive point of contact via messages, voice memos, emails, or occasional live calls
Qualifications:
• Previous VA or Community Coordinator experience (preferably in the coaching or wellness space)
• Strong written communication and summarization skills
• Self-starter with a proactive, problem-solving mindset
• Comfort working in both structured systems and intuitive environments
• Experience handling voice memo-based communication and converting them into clear action items
Tools You Will Use:
• Kajabi
• Google Workspace (Docs, Sheets, Drive)
• Canva
• Monday.com or similar project management tools
• (Bonus)Meta Ads Manager
• (Bonus) Familiarity with Airtable or Notion
Working Hours:
• Part-Time (16 hours/week to start, with potential to grow to 25+ hours)
• Monday–Friday, 10:30am–2:30pm Mountain Time
• Graveyard Shift (12:30am–4:30am PH time)

• Grounded and emotionally steady
• A self-starter who completes tasks without constant direction
• Compassionate and aligned with wellness, body liberation, or women’s empowermentvalues
• Loves organization, systems, and supporting visionary leadership
• Cool under pressure and responsive to shifting priorities

• Credit score required
• Must work during designated
• Graveyard Shift hours (US time zone)
