Job Description:
We're on the hunt for a proactive and detail-oriented Virtual Assistant to support a vibrant beauty and wellness business. This full-time role blends administrative support, social media management, and creative design. You will be the backbone of daily operations and play a critical role in marketing and client communication.
Key Responsibilities:
Administrative/Reception Support:
• Manage emails, calendars, and client bookings
• Answer calls, texts, and emails using a friendly, professional tone
• Follow up with clients and confirm appointments
• Organize digital files and guest documentation
• Coordinate team schedules and online retail updates
Social Media & Marketing:
• Schedule and post engaging content across platforms (Facebook, Instagram, Stories)
• Repurpose long-form content into reels, quotes, or stories
• Monitor and respond to comments/messages
• Support with seasonal promotions and email blasts
• Organize team-generated content and align posts with events
Creative & Design:
• Design in-salon promotional materials and signage
• Update brochures, rack cards, and digital assets
• Create graphics for emails, social campaigns, and in-store displays
• Ensure brand consistency in all visual materials
• Coordinate with printers/vendors when necessary
Qualifications:
• Strong critical thinking and attention to detail
• High emotional and social intelligence
• Excellent written and verbal communication
• Ability to work independently and multitask
• Experience with social media management and content creation
• Prior design experience preferred
Tools You Will Use:
• Phorest (for bookings and client communication)
• Canva (for design)
• Trello or similar (for task management and collaboration)
Working Hours:
• Full-Time (40 hours/week)
• Central Time Zone (U.S.)
• Graveyard Shift
• Tues: 10AM - 8PM
• Wed: 8:30AM - 3PM
• Thurs: 9AM - 8PM
• Fri: 8:30AM - 3PM
• Every other Sat: 9AM - 3:30PM (off Saturdays may be swapped with Mondays if preferred)

Non-Negotiables:
• Screenshot and productivity tracker required
• Must provide a credit score
• Strict adherence to Central Time (Graveyard Shift)
