Job Description:
We are looking for two highly-organized, people-savvy Virtual Assistants to fill the roles of Executive Assistant/Project Manager and Client Relations/Customer Service. You’ll play a critical role in supporting operations, ensuring seamless communication, and keeping projects running smoothly—all while delivering exceptional client experiences.
Key Responsibilities:
• Manage permitting and documentation processes with city offices
• Respond to client inquiries via phone, email, and chat
• Assist with preparing and sending estimates, invoices, and proposals
• Maintain organized records of project files, including photos, approvals, and surveys
• Track project progress and follow up on key tasks
• Build trust with clients and coordinate with third-party providers
• Support ongoing communication and ensure quick response times
Qualifications:
• Proven experience as a Virtual Assistant, Executive Assistant, or in Customer Service
• Strong organizational and administrative skills
• High attention to detail and excellent follow-through
• Excellent English communication and interpersonal skills
• Ability to multi-task and meet deadlines under pressure
• Experience in handling sensitive documents and project files professionally
Tools You Will Use:
• Buildertrend
• Google Workspace or similar platforms
Working Hours:
• Part-Time (20 hours/week)
• 8:30 AM – 5:00 PM ET (Graveyard Shift, US Timezone)
Preferred Traits:
• Detail-oriented and proactive
• Skilled in documentation and task tracking
• Strong problem-solving and people skills
• Comfortable working independently and within a team
Non-Negotiables:
• Screenshot and productivity tracker required
• Credit score required
• Must be available to work graveyard shift (8:30 AM – 5:00 PM ET)
