Looking for a dynamic and detail-oriented remote role that makes an impact?

Job Description:

We're hiring a Virtual Assistant to support property operations and administration. This role is critical in keeping real estate activities streamlined, ensuring compliance, managing CRM systems, creating documentation, and assisting with tenant relations. If you enjoy variety, process optimization, and working in a collaborative environment, this position is perfect for you.

Key Responsibilities:

• Prepare and file applications for city/state licenses

• Conduct monthly and quarterly license reporting

• Track home sales and assist in document creation

• Create and input lease data, validate charges

• Coordinate city/state inspections and handle documentation of violations

• Update and track unit rehabs (timeline, cost, completion)

• Assist in community purchase underwriting and due diligence

• Ensure website listings for homes are current

• Manage software usage for tenant work orders and issue resolution

• Maintain CRM systems and lead tracking

• Create process manuals for staff at all levels

• Post job ads and manage filing with labor/state agencies

• Respond to online home ads and coordinate with sales teams

• Manage employee files

• Handle email and calendar scheduling

• Contribute to social media presence

• Assist with utility setup for vacant units

• Track home purchases and manage vendor coordination

• Maintain investor database

• Monitor lease renewals

• Generate KPIs and reporting (delinquency, occupancy, rehab time, financials)

• Track inspections for occupied homes

• Draft tenant correspondence

• Act as internal expert on software platforms

Qualifications:

• Previous experience in property management, operations, or real estate admin

• Excellent organizational and multitasking skills

• Strong attention to detail and analytical thinking

• Proficient in Microsoft Excel and data management

• Clear and professional written and verbal communication

• Self-starter who can work independently and proactively

Tools You Will Use:

• CRM software

• Excel / Google Sheets

• Project management tools

• Property management software (training provided)

• Communication tools (email, calendar, chat)

Working Hours:

• Full-Time, Graveyard Shift (U.S. Timezone)
