Job Description:
We’re looking for a full-time Virtual Assistant who excels at managing speaker outreach, organizing CRM systems, and ensuring follow-ups are timely and effective. You'll play a vital role in supporting a professional speaker by helping coordinate outreach, polish speaking assets, and keep opportunities moving smoothly from contact to conversion.
Key Responsibilities:
• Research speaking opportunities and send outreach emails using templates and speaker kits.
• Maintain follow-up schedules and update CRM stages using HubSpot.
• Organize and update speaker assets such as kits, proposals, testimonials, and website content.
• Keep CRM and pipeline current—log contacts, move deals, and set reminders.
• Use task-tracking tools to ensure timely completion of daily priorities.
Qualifications:
• Previous experience in outreach, CRM management, or speaker support is a plus.
• Excellent written and verbal communication skills.
• Highly organized with strong attention to detail.
• Able to take ownership of tasks and follow through with minimal supervision.
• Comfortable working independently and asking the right questions when needed.
Tools You Will Use:
• HubSpot (for CRM and outreach)
• Trello (for task and priority tracking)
• Outlook (for email and calendar management)
Working Hours:
• Full-Time 40 hours/week 9 AM – 5 PM AEST (UTC+10, Melbourne Time)
