Job Description:
We’re looking for a self-motivated and detail-oriented Travel Administrator (VA) to support the operational side of a luxury travel business. You’ll be managing non-client facing administrative tasks and collaborating with a small team to ensure smooth execution of travel plans. This role requires proactivity, independence, and strong communication skills, along with the ability to adapt to changing needs and schedules.
Key Responsibilities:
• Invoice confirmed trips using SION software.
• Track and reconcile commissions via Google Sheets and SION.
• Communicate with suppliers to follow up on past-due commissions.
• Manage client data in CRM systems (preferences, personal info, requests).
• Build travel itineraries using Umapped and similar platforms.
• Revise and maintain internal travel documents and destination content.
• Liaise with hotels, DMCs, and activity vendors to quote/confirm services.
• Coordinate travel insurance quotes and confirmations.
• Support the team with end-to-end trip planning admin support.
Qualifications:
• Bachelor’s degree or higher.
• 2+ years of experience in the travel industry (agency, resort/hotel, etc.).
• Strong verbal and written communication skills.
• Discretion and professionalism with sensitive data.
• Highly organized and tech-savvy.
• Ability to work independently with minimal supervision.
• Flexible with working evenings and weekends when needed.
• Service-oriented and resourceful mindset.
Tools You Will Use:
• Mac OS and Microsoft Office Suite
• Google Suite (Docs, Sheets)
• CRM platforms
• SION (commission tracking)
• Umapped (itinerary software)
• Communication via Email, Phone, Text
Working Hours:
• Part-Time: ~20 hours/week (with flexibility to increase)
• US Timezone – Graveyard Shift
• Must be available for occasional evening/weekend work
