Job Description:
We’re seeking an Executive Assistant who can provide both personal and professional support to a high-profile entrepreneur known for inspiring change globally. The ideal candidate will manage day-to-day operations, communications, scheduling, and partnerships — ensuring seamless coordination across multiple time zones and projects. This is an exciting role for someone who enjoys variety, creativity, and being a vital part of a mission-driven team.
Key Responsibilities:
• Manage personal and professional calendars, emails, and communications.
• Coordinate global travel arrangements, itineraries, and expense reporting.
• Handle partnership communications including gifting projects, outreach, and scheduling.
• Assist with contract management and liaising with third-party vendors and contractors.
• Manage CRM systems, dashboards, and target lists for business development.
• Oversee website updates and general administrative support.
• Process invoices and maintain financial records using Xero.
• Support project management for key events, campaigns, and content initiatives.
• Develop and maintain systems for smoother operations and scalability.
• Provide exceptional client service and relationship management from start to finish.
Qualifications:
• Proven experience as an Executive Assistant or VA supporting senior leadership.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking abilities.
• Comfortable managing both personal and business tasks.
• High attention to detail and strong time management skills.
• Able to work independently and anticipate needs proactively.
• Experience with Xero, Google Workspace, and CRM tools preferred.
• A passion for personal development, creativity, and positive impact is a plus!
Tools You Will Use:
• Google Workspace (Docs, Calendar, Sheets, Gmail, Drive)
• Xero Accounting Software
• Active Campaign
Working Hours:
• Part-Time: 10–19 hours per week
• Schedule: 6 AM – 5 PM PST (Graveyard Shift for PH-based applicants)
• Hourly Rate: $5/hr
