Job Description:

We’re looking for a highly organized and forward-thinking Executive Assistant to support a busy CEO. You’ll be responsible for optimizing their schedule, managing communications, coordinating logistics, and ensuring daily operations run seamlessly. This role requires a mix of strategy, execution, and adaptability — ideal for someone who can anticipate needs and solve problems before they arise.

Key Responsibilities:

• Manage and optimize the CEO’s calendar, meetings, and travel logistics.

• Handle inbox management with precision — prioritize, respond, and filter communications.

• Oversee task management and project coordination in ClickUp and related tools.

• Anticipate operational needs and proactively address challenges.

• Maintain confidentiality while handling sensitive business and personal information.

• Communicate professionally with internal and external stakeholders.

• Support daily decision-making by ensuring the CEO’s time is focused on high-priority goals.

Qualifications:

• Minimum 2 years of experience as an Executive Assistant or similar role.

• Strong written and verbal communication skills.

• Exceptional organizational and multitasking abilities.

• Tech-savvy and quick to learn new tools and systems.

• Proactive, dependable, and solution-oriented.

• Able to work independently while maintaining clear communication.

Tools You Will Use:

ClickUp – Task and project management

• Gmail Workspace & SaneBox – Email management

• Slack – Team communication

• Go High-Level CRM – Client and workflow tracking

• ChatGPT and AI productivity tools

Working Hours:

• Part-Time (20 hours per week)

• US Central Time Zone (Graveyard Shift for PH-based applicants)

• Highly responsive throughout the day with morning, afternoon, and evening checkpoints.

• Occasional flexibility for urgent matters or travel coordination.
