Job Description:
We are looking for a highly organized, fast, and resourceful Executive Assistant to support the founder of a leading global PR and marketing firm, headquartered in New York. This role is perfect for someone who thrives in a fast-paced environment, manages details with precision, and feels confident communicating with high-level executives and luxury clientele.

Role: Executive Assistant (with ~20% Social Media Support)
Hours: 30 hours/week (Monday–Friday)
Schedule: Must be available during New York (EST) business hours
Key Responsibilities:
• Manage an extremely busy executive calendar across global time zones
• Schedule meetings via email, text, and phone calls (phone confidence is required)
• Organize and prioritize multiple email inboxes
• Book international travel: flights, accommodations, transportation
• Maintain to-do lists and ensure follow-through on priorities
• Join and participate in team communication via Slack
• Submit expenses and reports through Expensify
• Track time via Harvest
• Draft and schedule social media posts
• Update LinkedIn
• Create and post simple reels
• Support social media initiatives under direction of a senior team member
• Transfer content from old PowerPoint templates into new branded templates
• Ensure accuracy and high-quality formatting (no heavy design required)
• Extremely organized and detail-oriented
• Fast, efficient, and smart
• Confident making phone calls and handling global scheduling
• Tech-savvy and comfortable navigating multiple platforms
• Experienced supporting high-level executives in fast-paced industries
• A proactive self-starter who anticipates needs
• Calm, professional, and polished when dealing with elite clientele
• Someone who learns quickly and communicates clearly

After the onboarding period, you should be able to:
• Keep the executive organized, prepared, and ahead of schedule
• Manage global calendars with precision
• Communicate professionally and efficiently
• Execute tasks with minimal oversight
• Contribute to improving workflows and keeping operations running smoothly
• Prior experience as an Executive Assistant to a senior-level executive
• Must be comfortable with phone-based scheduling
• Excellent English communication skills
• Experience with global time zones is a plus
• Ability to handle confidential information with discretion
• Strong PowerPoint and Microsoft Office skills
• Social media familiarity (basic content support)
