Job Description:
We are seeking a proactive and highly organized Executive Assistant to provide comprehensive support to executives and manage operational tasks efficiently.
This role requires someone who can anticipate needs, coordinate schedules, manage communications, and ensure that daily operations run smoothly. If you are detail-oriented, professional, and thrive in a fast-paced environment this role is for you.
Key Responsibilities:
• Manage executive calendars, appointments, and meetings
• Coordinate and track deadlines, projects, and priorities
• Draft and proofread emails, documents, and presentations
• Prepare reports and maintain operational records
• Monitor and respond to communications as needed
• Support hiring processes including candidate communications and scheduling interviews
• Assist with onboarding new team members
• Research and provide recommendations for operational improvements
• Take initiative to propose solutions for workflow efficiency
Qualifications:
• Proven experience as an Executive Assistant or in a similar administrative role
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Highly proactive and self-directed
• Ability to handle confidential information with discretion
• Tech-savvy with experience using productivity and collaboration tools
• Detail-oriented and results-driven
Tools You Will Use:
• Google Workspace (Docs, Sheets, Calendar, Drive)
• Zoom or other video conferencing tools
• Project management tools (Trello, Asana, ClickUp, etc.)
• Email and communication tools
• HR and recruitment platforms (for hiring support)
Working Hours:
• 9:00 AM – 3:00 PM CST
• Part-Time or Full-Time (depending on workload)
• US Time Zone (Graveyard Shift may apply for some tasks)
