Job Description:
Virtual Dream Team is looking for a proactive and organized Scheduling & Patient Coordinator to support a growing wellness-focused business. In this role, you'll help manage patient scheduling, coordinate meetings with providers, and create a smooth experience for prospective and existing patients while helping drive business growth through excellent communication and follow-through.

Key Responsibilities:
• Coordinate patient appointments, consultations, and provider schedules
• Respond to incoming patient inquiries and provide helpful, professional support
• Conduct timely follow-up with new leads from marketing campaigns and guide them through the scheduling process
• Qualify prospective patients and book consultations efficiently
• Maintain accurate records and updates within company systems and CRM platforms
• Manage calendars, scheduling requests, and administrative priorities
• Support executive-level tasks and take ownership of assigned projects
• Identify operational improvements and proactively contribute to business growth initiatives

What We're Looking For:
• Experience in patient coordination, appointment scheduling, lead intake, customer service, executive assistance, or a similar support role
• Friendly, calm, and emotionally steady with the ability to communicate professionally with individuals experiencing mental health challenges
• Able to balance empathy with efficiency, keeping conversations focused while ensuring patients feel heard and supported
• Strong problem-solving and critical-thinking skills with the ability to work independently and make sound decisions
• Comfortable managing multiple priorities and rapidly switching between lead follow-up, patient support, and administrative tasks
• Highly reliable, coachable, organized, and proactive in identifying ways to move the business forward without constant supervision
We sometimes ask for flexible support on related tasks, but nothing outside your skill set and always with clear communication.
Working Hours:
• Part-time position, 20 hours per week.
• Schedule: 10:00 AM – 6:00 PM EST.
• $5/hour
